What belongs in an HVAC maintenance agreement

A maintenance agreement is a product, and most shops never design it: they photocopy a competitor's brochure, pick a price, and wonder why renewals sag. The programs that compound into real recurring revenue are designed deliberately, from the name on the front to the fine print on the back.

Name it like a product

Nobody renews an 'ESA.' Homeowners renew the Comfort Club, the Priority Partner plan, the name that sounds like belonging to something. Brand the program after your company, and reserve acronym language for internal use only.

The core structure

  • What is covered: which visits, which equipment, what each visit includes
  • Visit frequency, stated plainly: two visits a year, spring and fall
  • Member benefits: priority scheduling, repair discounts, waived diagnostic fees
  • Billing terms: monthly or annual, renewal behavior, cancellation terms
  • What is not covered, in plain language, before it becomes an argument
  • Transferability if the home sells (a genuinely valued clause)

Tiering that works

Two or three tiers, differentiated by things homeowners can feel: visit count, repair discount depth, priority level, covered accessories like media filters or UV bulbs. Each tier should carry its own visit checklist, because the Gold inspection genuinely being longer than the Essentials one is what makes the tier real rather than a label.

The operational promises (keep these or lose the member)

  • The visit actually happens on schedule without the member calling to ask
  • The reminder arrives before the season, not after the first heat wave
  • The tech performs the tier's checklist, documented with photos
  • The member can see their visit history and next due date
  • Renewal is automatic and unremarkable, not an annual re-sale

Every promise in the agreement is an operational commitment, and the program lives or dies on whether the operations keep up when you have eight hundred members instead of eighty. That is a software problem before it is a discipline problem.
