Existing system
- Record model, serial, age, fuel type, and refrigerant of every component
- Note what failed and what the homeowner has already spent
- Photograph equipment, data plates, and installation constraints
Load factors
- Measure or confirm square footage and ceiling heights
- Note insulation levels, window types, and orientation
- Count occupants and note comfort complaints by room
- Run the load calculation rather than matching the old tonnage
Infrastructure
- Check electrical panel capacity and breaker space
- Assess line-set condition: reuse, flush, or replace
- Inspect ductwork sizing and condition against the new equipment
- Verify condensate routing, gas supply, and flue compatibility
- Note access obstacles: stairs, crane needs, clearances, HOA rules

- Budget range and financing interest
